How are people counted?
People in scope are the officers and other roles you record in the People register, not everyone who works at the firm. Your price follows that count.
How is billing handled?
Subscriptions are billed monthly in pounds through Stripe, from the billing page in your workspace. Prices exclude VAT, which is added where applicable. You choose how many licences to hold (up to 5, up to 15, or more) and can update them from the billing page; Stripe prorates the change. You can update payment details, download invoices and cancel from Stripe's billing portal.
Is there a free trial?
Yes: a 7-day free trial, cancel any time before it ends. A card is required to start. It is charged automatically for your first month when the trial ends unless you cancel first, and if no payment method is available at the end of the trial the subscription is cancelled. One trial per practice account.
What happens if I have more people than licences?
Nothing stops working. You can go over your licences by up to 5% (rounded up, at least one person) and we show a reminder in your workspace asking you to add licences. If you go beyond that allowance, only adding new people to the People register is paused until you add licences; existing records, evidence, reviews and exports are never locked or deleted, and we never change what you pay without you choosing it.
Does it file anything with HMRC?
No. It never submits to or notifies HMRC. See source & scope.
Can I use real client data?
Yes, for testing. Records are private to your practice account, evidence files are stored privately and checked against their hash every time they are read, sign-off needs two-factor authentication, and you should redact anything you do not need. What is not yet in place: virus scanning of uploads (files are recorded as unscanned), off-host encrypted backups, a staffed data-rights request process, approved retention periods and final legal notices. Until those are done, treat this as a testing service and keep to the minimum personal data. Details are on the trust page.
